PAYMENT OPTIONS
Credit Card

All credit card payments are securely processed via Cybersource. To pay using a credit card, register for your class, choose ‘Credit Card’ and follow prompts. You will receive an email confirmation within one business day. Credit cards cannot be processed in person or by phone.

Check/Cash

To pay by cash or check, register for your class online and choose ‘Check/Cash.’ Please Note: If you pay using this option, you are not confirmed, nor guaranteed a space in the class, until payment is processed. Checks payable to “Stanford University.”

STAP Funds

Eligible Stanford University employees can pay for STAP approved Healthy Living Classes by choosing the “Use STAP” button in the shopping cart. Learn More.

Education Assistance Funds

Stanford Health Care and Stanford Children’s Health employees can use EA funds to pay for approved classes. To apply EA funds to your class, submit an application, register and pay before your class begins. Submit paperwork for reimbursement within 90 days of the class end date. REFUND POLICY

Fitness Classes: Please contact us within one week of the start of the quarter to request a refund. After the first week of the quarter, prorated refunds will be issued for medical reasons only. A $10.00 processing fee will be charged for all refunds.

Healthy Living: Please contact us at least 24 hours before your first class to receive a refund or credit (unless otherwise noted in class description). A $10 processing fee will be charged for all credit card refunds. No credits or refunds will be issued for missed classes or digital apps. Please contact our office for refunds due to medical reasons.


Wait List Policy

If you would like to be placed on the wait list for a class that is full, please call our office at (650) 723-9649 or add yourself to the waitlist, by finding your class, and clicking the “join waitlist” button. We will contact you if a space becomes available.

Incentives and Tuition Assistance Options
Reduced Group Fitness Fees for BeWell Participants

Benefits-eligible Stanford University employees who are participating in BeWell and have completed the SHALA are eligible for two fitness classes each quarter at the reduced rate of only $30 per class. Eligible participants must log with their SUNet ID and will automatically see the $30 class fee.

Discounted Classes for Retirees

As an official Stanford retiree, you will be eligible to register for discounted classes offered by the Health Improvement Program: two fitness classes per quarter (on a space-available basis) for $30.00 per class, or any Healthy Living class up to a 50% discount. Please request these discounts directly through our office at healthimprovement@stanford.edu.

STAP Funds for University Staff

Most of our Healthy Living classes are approved by the University Benefits Department for STAP reimbursement. Look for “STAP/EA Funds: Yes” next to the class fee online and in the brochure. If you are Stanford University Employee working 50% time or more, you will be given the option to use your STAP funds for pre-approved Healthy Living classes at the time of registration.
(According to University guidelines, all employees should obtain approval from their supervisor prior to using STAP funds.) *To check STAP funds usage and balance, log in to your Axess > Choose: Training > STAP > STAP Balance.

Educational Assistance (EA) Funds for Stanford Health Care and Stanford Children’s Hospital employees

Stanford Children’s Hospital and Stanford Health Care employees may use their EA Funds, also known as Tuition Reimbursement Funds towards approved Healthy Living Classes. Here’s how:

  1. Make sure your Healthy Living class indicates “Approved for EA Funds”
  2. Request manager approval prior to enrolling in the class:
    Stanford Children’s Health employees

    • Click here and complete the following steps to submit an application for manager approval and reimbursement
    • Click “Learning and Development”
    • Click “GP Strategy”
    • Click “New Application”
    • Select “Individual Course,” answer questions and submit

    Stanford Health Care employees

    • Submit a written request to your manager with adequate documentation regarding the class at least 30 days prior to the start of class
  3. Pay for your Healthy Living class using credit card, cash or check to complete registration
  4. Request manager approval prior to enrolling in the class:
    Stanford Children’s Health employees

    • Return to your Learning and Development dashboard in AccessHR and submit supporting documentation of class completion under the “Request Payment” page.

    Stanford Health Care employees

    • Login to the SHC Intranet
    • Select “Connect To” –> “Tuition Reimbursement (Hosted HR)”
    • Complete the Tuition Reimbursement online form
    • Submit evidence of payment
    • Submit proof of course completion

 

Note: Both Stanford Health Care and Stanford Children’s Health employees must submit manager approval documentation prior to the start of the class to receive reimbursement. All supporting documentation of class completion must be submitted within 90 days of the class end date. Policy Overview
